To strengthen our digital presence, Ivan Allen College is implementing a Web Content Lifecycle Management Plan. This policy outlines how Ivan Allen College websites are reviewed, archived, and updated in alignment with Georgia Tech’s web governance standards.
Key Policy Details
Note: This policy does not apply to webpages or sites that have been actively maintained and updated within the past three years. If a webpage or site is being reviewed for possible removal or archiving, the administrator for that page or site will be contacted to confirm whether removal or updates are advised.

Event and News Content
- Online calendar listings will be removed after one year.
- One-time event or project websites and news stories will be reviewed for removal after three years unless it:
- Ranks in the top 25% of visited pages based on analytics
- Serves a strategic SEO purpose
- Is approved for archival or continuous hosting via faculty exemption request
Faculty-Affiliated Websites
- Includes independent portfolio, lab, or research websites
- Reviewed when the faculty member departs
- If no one assumes ownership, the faculty member will have six months to:
- Download the content
- Request archival
Press Hits and Newsletters
- Newsletter archives to be taken offline
- Communications retains access to newsletters sent since June 2023 via Emma
- Press hits to be exclusively included in the Dean’s Weekly Update and taken offline
Web Archiving Information
- Archiving is available through Georgia Tech’s Web Archiving Services
- Removed content can still be accessed through the Internet Archive Wayback Machine using the URL
- Contact IAC Communications for support or guidance on archiving your content

Annual Review of Core Websites
Each summer, IAC Communications conducts an in-depth review of the content on the main Ivan Allen College site and the six School sites. This annual audit helps us ensure web pages reflect current programs, people, and priorities. We may reach out to stakeholders for clarification or to recommend updates.

Update Reminders for Content Managers
Site managers for research groups, labs, and other independently maintained websites will receive reminder emails each semester with a short checklist of common web updates. These prompts help keep content timely, relevant, and aligned with accessibility standards.
A clear governance framework will help our Schools better showcase their research, programs, and achievements while maintaining a well-organized and user-friendly online presence.
